Administrative Assistant

AdaptX is searching for an Administrative Assistant. This person will have proven success working in a customer focused industry. They will work closely with internal and external stakeholders to coordinate critical meetings, support business operations, and ensure seamless execution of project delivery. They will thrive in a fast-paced, startup environment.

Key Responsibilities

  • Support finance and business operations, including managing expense reporting processes and scheduling/tracking company travel, using cost discretion on cost decisions
  • Support human resources processes, including onboarding and off boarding, benefits tracking, and keeping HR systems accurate
  • Own and manage multiple executives’ calendars, including resolving overlapping commitments, protecting work time, and owning follow-up with customers to ensure timely meeting scheduling
  • Understand and anticipate leadership needs to help support a fast-growing business
  • Monitor and manage office spaces, including ordering furniture and supplies as needed
  • Own administrative technology accounts for AdaptX, including Zoom, DocuSign, and others
  • Vet and approve appropriate spending requests
  • Manage the company’s (virtual) file system
  • Support internal and external Marketing events

Key Qualifications

  • Ability to work in a fast-paced, complex startup environment
  • Strong interpersonal skills
  • Strong planning, organizing, and coordinating skills
  • Aptitude for project management preferred. Training and development opportunities will be provided to further project management skills
  • Proficient in email, GoogleCalendar, Word, Excel, and PowerPoint, with a willingness to learn new systems
  • Ability to communicate (verbally, and in writing) in a clear and concise manner
  • Exceptional ability to multitask, prioritize, and problem solve
  • Ability to follow guidance, while also recognizing limitations and seeking help where needed
  • Detail-oriented, with the curiosity and agility needed to support a fast-growing business
  • Located in the Seattle area

AdaptX provides all full-time employees health benefits, paid time off, short term disability insurance, and the ability to contribute to a401k and FSA. The salary range for this role is $55,000 to $60,000 depending on applicable skills and experience.
